Creating a simple compliance report

Using data to create your own reports

Sometimes, you just need to email out an Excel report that shows specific reporting data for your business. The reporting tools on the platform can already do a lot of the data gathering and presenting for you, but we understand that people want Excel reports too! And exporting data is something you can absolutely do on this platform.

From the Reporting menu, pick Overview:

Here you will see the Reporting Tools on the right-hand side. Select Overall Performance.

Scroll all the way to the bottom of the page and pick Export as:

… and then Unfiltered data (with dates):

Note - you can also pick Unfiltered data, and this will show any completed courses as simply ‘Passed’, whereas ‘with dates’ shows the date and time that they passed.

This might take a while, especially if you have lots of learners and leavers built up over many years, so please be patient whilst the data is loading and retrieved…

Depending on your browser of choice, the file will download, or you will be prompted to save the downloaded file:

The downloaded file is a comma-separated file (.csv) and will most likely open in Excel if you have this installed.

Remember, if you make any changes in this file, for example, applied any formatting or filters, then make sure you save it as a proper Excel file first!

This is just my personal preference; I generally save reports as ‘yymmdd_report_name’:

… so that when I build up a set of reports over time in my ‘Reports folder’, and want to sort them by file name, they all appear in date order.

What the report gives you is a complete snapshot of learner progress for ALL learners:

You will get:

  • Company Structure
  • Any Organisational Attributes
  • Username
  • Employee Name
  • Company Start Date
  • Company Leaving Date
  • Active Status
  • Whether they are included or excluded from reporting
  • User Profile
  • User Type
  • Job Description
  • Their progress for ALL courses installed in this learning platform

What you do with it now is down to you and your creativity!

So, I might want to start by enabling filters so that I can see ‘Active’ learners only:

I’m not too bothered about the leavers, so I’ll hide that column:

… and in just a few minutes of filtering, bolding and highlighting - you’ve got yourself a progress report on how many active learners (who should be included in reporting) have completed their 7 Managing People courses:

The exported courses use course codes atop each column of course data. If you’re not sure what these are, then select courses then Overview from your dashboard:

You can then see the course code:
